Schedule
Questions about setting your hours, booking rules, and availability.
The earliest appointment time is 5am AEST and the latest is 10pm AEST. You can set your hours anywhere within this window. There is a 5-hour weekly minimum.
Yes.
Yes, however we encourage you to keep them fairly consistent for the sake of clients. For example, we would not want them changing every 2 weeks.
Yes. Your set hours are a guide for RT admin to know when we can book with you. You can book subsequent appointments wherever you see fit.
Yes. You can block out time slots in your Halaxy calendar yourself for periods of less than 4 weeks. For leave longer than 4 weeks, contact admin โ we will need to disable new client bookings in advance.
Generally you will be full within 1 month of enabling new clients โ it can be as little as 2 weeks. If you don't have any bookings after 1 week, we will work with you to adjust your client preferences.
No โ we can't guarantee your calendar will fill up. Clients book in with you themselves, so how quickly and how full you get depends on things like your availability, the preferences you set, and critically your photo. In practice, most therapists fill within 1 month of enabling new clients (see How fast will I fill up? above), and if you have no bookings after a week we'll work with you to adjust your preferences.
Yes โ you will receive a notification via email each time a client books.
No. Clients cannot book with less than 24 hours' notice. The booking window is from 24 hours to 14 days ahead.
We prefer if you have at least 5 hours available per week.
Responsibilities
A clear breakdown of what you are responsible for, and what Remote Therapy handles on your behalf.
- Treat the clients.
- Add a fee to appointments for admin to claim or take payment for.
- Collect assignment of benefit from the client verbally.
- Book subsequent appointments for clients.
- Write MHTP letters, referral acceptance letters, and discharge letters where appropriate.
- Marketing to GP clinics and the public.
- Receiving, verifying, and processing referrals.
- Booking clients for initial appointments โ new or returning.
- Ensuring clients sign the consent form.
- Processing and following up on Medicare claims and card charges.
- Sending letters and following up if they are rejected.
- Keeping track of MHTP status and alerting therapists when it is time to write a review letter.
- Answering emails and calls from clients, psychologists, and GPs.
Contract
How the service agreement is structured and what happens if you decide to leave.
The service agreement is structured so that you are hiring Remote Therapy. You may be used to being the contractor โ in this case, you are the client, and Remote Therapy is the contractor.
The contract specifies 30 days, but we can work with you to wind down earlier if needed, or extend for longer to see out existing clients.
Medicare Provider Number (MPN)
What you need to know about setting up an MPN for working with Remote Therapy.
Yes. You will need a separate MPN for Remote Therapy. We will provide you with detailed instructions during the onboarding process.
Yes โ and we recommend doing so. If you use your home or office address, clients will be able to see it on their Medicare receipts.
Payments & Invoices
How the payment split works, how money flows, and what your monthly invoice contains.
The split is 80/20 โ you keep 80% of each payment and Remote Therapy charges a 20% service fee.
Payments from Medicare or client cards are sent directly to your bank account in full. We then charge a 20% service fee once a month, which you pay to us by bank transfer.
Yes. The service fee is approximately 18.2% + GST, totalling 20%.
- An income report showing earnings paid to you in the previous month and the corresponding appointments/invoices.
- A list of any 'waived' invoices โ unpaid invoices that we have given you an invoice discount for.
- A list of refunded invoices.
- A list of previously 'waived' invoices that have now been paid.
- Calculations showing how we used the above data to arrive at your service fee.
Client Notes
Where to store your notes, who owns them, and what happens when they're requested or when you leave.
We recommend keeping notes in Halaxy (our practice management software). However, you can keep them on your own system if you prefer.
You are the sole owner of any notes created while working with us.
We will forward the request to you and abide by your decision. We will never share your notes without your express permission.
We will keep them for you indefinitely and you can access them whenever you need. We can also export them for you on a per-client basis โ there is not currently the ability to do a bulk export.
Medicare & Mental Health Treatment Plans
How Medicare claims are handled and how MHTP sessions are tracked.
Yes โ approximately 99% of clients come under a MHTP and are bulk billed.
Yes to both. We make all Medicare claims on your behalf and follow up any rejections.
Yes. We track MHTP session counts and will notify you when a client hits their referral limit(s) so you know when to write a review letter.
Referrals
How new clients find you, how referrals are allocated, and how to manage your preferences.
New referrals go into a shared pool. Once a client fills in their consent form, they are sent a link where they can filter therapists by preference and book online.
Some clients prefer us to book for them โ in that case, we choose from the shortlist of suitable therapists at random.
Yes. We have over 12,000 GPs that refer to us and receive hundreds of referrals every day.
Yes. You are encouraged to review client referrals and reject any that are unsuitable for you โ no questions asked.
Yes. We ask for your client preferences during the onboarding process so you only appear as available for clients you are happy to see.
Yes. Email admin@remotetherapy.com.au at any time to update your preferences.
Yes. Consent forms are collected from clients before they book in.
We see ages 5โ65+ with any presenting issue, so long as it is appropriate for telehealth.
You will give us your client preferences and will only receive matching clients.
Appointments
Practical questions about how appointments are conducted.
Yes โ you use your own phone to call clients for phone consultations.
Yes. Automated reminders are sent to clients at 72 hours and 24 hours before their appointment.
Appointments are 50 minutes, with a 10-minute buffer at the end. Please set the appointment duration to 50 minutes in Halaxy โ setting it longer interferes with the online booking system.
Letters
What letter-writing is expected of you, and the tools available to make it easier.
No. We ask clients during intake whether they require any third-party reports and do not allow them to book if they do.
However, you may choose to do such reports for existing clients. In that case, we will invoice the client privately and they can seek a rebate from the third party manually if eligible.
Yes. Templates automatically import client, GP, and referral information and make letter writing much quicker. You can customise them as you see fit.
Misc. Admin
Platforms, resources, peer supervision, and other practical admin questions.
We use Halaxy for the practice calendar and client management, and Coviu for video calls. Remote Therapy sets up and pays for both on your behalf.
Yes. If we don't have a tool you would like, we can add it for you โ just ask.
You will need to arrange meetings yourself by emailing the therapists listed on the peer supervision spreadsheet.
Yes. There are no restrictions from our side.
